Operations Associate

Madison, WI

WestPoint Financial Group is assisting with the sourcing of this position.  The successful candidate will be employed by an advisor of WestPoint Financial Group.

The Operations Associate must be highly organized with exceptional interpersonal skills.  Time management and critical-thinking skills are imperative.  This role requires proficiency in MS Office (Word, PowerPoint, Excel) and a strong knowledge of business technology, including Zoom and database management.

The Operations Associate will identify and lead problem-solving initiatives, work well in a collaborative environment and be accountable individually and as a valued member of the team.

This position is Full-Time, Monday through Friday, in the advisor's Madison office.

Duties:

  • Answer and direct telephone calls and emails in a timely and professional manner
  • Send communication to appropriate areas and maintain confidentiality at all times
  • Arrange Zoom and conference calls
  • Schedule and maintain appointment calendar and clarify conflicts
  • Organize and maintain data management system
  • Review and organize incoming mail and emails
  • Prepare correspondence including emails, letters, and reports
  • Coordinate and schedule all meetings, take meeting minutes, and send reports to appropriate individuals
  • Account opening and ongoing client service
  • Track and closely follow business submission
  • Support the planning process by keeping detailed notes of client correspondence and required actions
  • Work with all team members in coordination and completion of tasks
  • Proactive problem-solving and follow up on outstanding client and team issues
  • Accurate and appropriate correspondence to all team members, outside parties and clients
  • Other duties as assigned


Qualifications:

  • Proficiency in MS Office Suite and database management
  • Detail-oriented with excellent verbal and written communication capabilities
  • Engaging interpersonal communication skills
  • Takes initiative to identify issues and help team problem-solve
  • Critical thinker with excellent organizational and multi-tasking skills
  • Possesses exceptional follow up capabilities and critical-thinking skills
  • Financial Services industry knowledge, preferred

Salary Range: $50,000 - $60,000 annually
